Privacy Policy

Who We Are

Alberta Athletics (albertaathletics.ca) is a provincial sports directory serving Alberta communities. We help people find sports organizations, facilities, and programs across Alberta.

What We Collect and Why

1. Organization and Facility Information

We maintain a public directory of sports organizations and facilities in Alberta. This includes:

  • Organization name, sport, region, and registration status
  • Facility name, address, surface type, and hours
  • Organization website URL
  • Role-based contact information (e.g., “info@example-club.ca” or “registration@example-club.ca”)

Why: To help Albertans find sports programs and facilities in their area.

How we get it: From publicly available sources (organization websites, provincial sport body directories), and from organizations that claim and update their own listings.

Role-based contact information (emails or phone numbers tied to a position or organization, not a named individual) is the only contact data we store in Phase 1. We ask organizations to use role-based addresses rather than personal ones.

2. Anonymous Feedback

When you use the “Is this information correct?” feedback feature on a listing, we collect:

  • The feedback category (e.g., wrong information, missing organization)
  • Any text you submit describing the issue

Why: To keep the directory accurate.

What we don't collect: Your name, email, or any identifying information when you submit feedback. Feedback is anonymous.

3. Standard Web Server Logs

Like most websites, our hosting infrastructure automatically collects basic technical information when you visit, including your IP address, browser type, and pages visited.

Why: To keep the site running and diagnose technical issues. We do not use this data for advertising or profiling.

What We Don't Collect (Phase 1)

  • No user accounts or login credentials
  • No individual athlete or player data
  • No payment information
  • No data about minors

Phase 1 is a public directory. You can browse the site without creating an account or providing any personal information.

How We Store Your Data

Directory data and any feedback submissions are stored in Canadian data centres. We use Supabase as our database provider. Our Supabase project is hosted in the ca-central-1 (Canada Central) region.

We use Vercel to serve the website. Vercel's content delivery network includes servers outside Canada, but only static web pages (not personal data) are served through the CDN layer.

Cookies and Analytics

Alberta Athletics uses one category of cookies:

Strictly Necessary Cookies: These cookies are required for secure administrator login and cannot be switched off. They are set only when an administrator explicitly signs in and are deleted when you sign out or close your browser. They do not track or identify anonymous visitors to the public directory.

Anonymous visitors browsing the public sports directory have no cookies set.

We do not use analytics, advertising, or tracking cookies. We will update this section before introducing any such technologies.

Do We Share or Sell Your Data?

No. We do not sell personal information.

In Phase 1, the only information we share publicly is what's in the directory itself — organization names, facility details, and role-based contact information that organizations have provided or approved.

How Long We Keep Your Data

Directory listings are kept as long as the organization is active in Alberta. If an organization asks us to remove or update their listing, we do so promptly.

Anonymous feedback is retained for 24 months, then deleted.

Your Rights Under PIPA

Alberta's Personal Information Protection Act (PIPA) gives you rights over your personal information. If your personal information appears in our directory (for example, a role-based contact email that identifies you), you have the right to:

  • Access — Ask to see what personal information we hold about you
  • Correct — Ask us to correct inaccurate information
  • Request removal — Ask us to remove your personal information

To make any of these requests, email privacy@albertaathletics.ca. We will respond within 30 days, as required by PIPA.

If you are not satisfied with our response, you may file a complaint with the Office of the Information and Privacy Commissioner of Alberta (oipc.ab.ca).

Changes to This Policy

If we make significant changes to this policy, we'll update the effective date at the top and post the new version at albertaathletics.ca/privacy.

As Alberta Athletics grows into Phase 2 (team management) and Phase 3 (registration), we will update this policy to cover the additional data we collect. We will not use your data in new ways without updating this policy first.
